Leisure Parts Lab is a trading name of MHS Retail Services Ltd ("we", "us"). We design and reproduce discontinued parts for motorhomes, campervans and caravans for Motorhome Depot brokers and for members of the public. MHS Retail Services Ltd is the data controller for the information you send us.

When you send an enquiry we collect your name, email and phone, and a business name if you have one. We also collect the vehicle make, model, year and (optionally) registration, a description of the part, its measurements, whether you hold the original part, and up to six photographs you choose to upload. We also keep security records with hashed email or network identifiers and timestamps to limit abuse; these remain personal data where they can be linked to someone. Please do not send vehicle buyers’ information or unnecessary personal details in photographs.

We use this information to assess whether we can reproduce the part, prepare a quotation, and manage any resulting business dealings. Our lawful basis for enquiry and abuse-prevention processing is legitimate interests(assessing and responding to enquiries from brokers and members of the public, managing business relationships and preventing abuse). Contract may apply where you personally are the contracting party; it does not automatically apply to an employee or broker acting for a company. Legal obligations apply to required accounting records. We have documented and adopted a legitimate-interests assessment for this limited service. The confirmation on the enquiry form is not a request for GDPR consent. We do not use enquiry details for marketing or sell them; providers process information as described below.

Your enquiry and photographs are stored securely in our cloud hosting, located in the European Union (Ireland). Business access is restricted to the authorised owner. Photographs are held in a private bucket; the owner can request viewing links that expire after five minutes. Anyone holding such a link can use it until it expires, so links must not be forwarded.

Lovable Cloud provides website hosting, record and photograph storage and owner authentication. Lovable also handles technical service, security and error records; our 30-day application-log policy does not set retention for its independent service records. Our active Business workspace includes Lovable’s Data Processing Agreement for customer personal data processed under its service agreement. The agreement also distinguishes Lovable’s independent-controller processing of certain service records. Resend, through Lovable’s connector, is our configured outgoing email provider. When you send an enquiry, we email you a confirmation at the address you gave us. That message includes your LPL reference, the vehicle type, a short summary of the part, and says we aim to reply within five working days. It also says an enquiry is not an order. Orders under £100 are paid in full when you accept the quote; orders of £100 or more need a 50% deposit, with the balance before collection or posting. Replies go to melvynhomer7@gmail.com, because enquiries@leisurepartslab.co.uk is only used for sending and cannot receive mail. We also email the owner the reference, the vehicle type and a short part summary, without your contact details or photographs. If an email fails to send, the enquiry is still saved and the reference shown on screen still counts.

Google Gmail is the working correspondence and privacy inbox at melvynhomer7@gmail.com; correspondence can contain personal information. Ireland is the configured location for enquiry records and photographs, not a guarantee that every provider’s processing or support access stays in the EU. Lovable and Resend apply the UK Addendum to EU standard contractual clauses for relevant restricted transfers. This inbox is treated as a standard Google account without a Google Workspace data-processing agreement; Google processes the mailbox under its own terms and Privacy Policy and may process it in the United States and other countries, relying on its stated transfer safeguards, including the UK Extension to the EU–US Data Privacy Framework.

The website loads fonts from Google Fonts, which involves requests from your browser to Google and discloses your network address and browser information. Google states that Google Fonts does not use this information to build profiles or target advertising. Google processes these requests under its own terms, including outside the UK.

Our approved policy retains completed enquiries and photographs for 24 months after job completion; declined or abandoned enquiries for 12 months after closure; and security and rate-limit logs for 30 days. Records will initially be reviewed quarterly, with manual, logged deletion. We preserve records for longer where a legal claim, dispute or statutory requirement justifies retention, recording the reason and reviewing the continued need. Enquiry and photograph deletion remains manual. Application security logs are scheduled for daily expiry after 30 days, except justified legal holds. Daily execution can add up to 24 hours beyond that threshold; failures require follow-up. Provider-managed logs have their own retention terms, which must be confirmed before launch.

Financial records are separate from enquiry photographs and are not collected through payment facilities on this pilot. Company accounting records are normally retained for six years from the end of the relevant financial year, with longer periods where required by law; the precise policy needs accounting/legal confirmation. Lovable documents one automatic database backup per day, retained for up to roughly 14 days. A deleted enquiry may remain in an earlier backup until that backup expires. These backups and database exports do not include photograph files. Backups are not used for routine access to erased information; before a restored copy returns to use, we reconcile it against our restricted deletion and legal-hold register and remove information already due for deletion.

Any separately downloaded photographs or database exports must have a recorded holder, purpose and expiry date and be securely deleted when their purpose ends, unless a justified legal hold applies. Deleting an active record does not delete those copies automatically. The operating copy inventory and provider-internal deletion arrangements must be confirmed before genuine data is retained in copies; we do not promise immediate erasure from all provider backup systems.

You can ask us at any time to see, correct or delete your information, or to restrict or object to how we use it, subject to applicable legal conditions. Rights requests will normally be answered within one month; a lawful extension may apply to complex or numerous requests, with an explanation. You can complain to the Information Commissioner’s Office.

This notice applies while we finish the site, for enquiries from Motorhome Depot brokers and members of the public. It will be updated if our handling of your data changes. The Terms sit alongside this notice.
